Communications & Development Coordinator

Reports to: Executive Director

Salary: $24/hour, full-time, non-exempt

Responsibilities

Fundraising

  • Work closely with the Executive Director to develop and execute a detailed annual fundraising plan and calendar; set annual goals and objectives, ensuring year-on-year growth and the long term financial health of the organization.
  • Review current grants, annual donations, and previous fundraising records to plan for each year’s fundraising goals and budget.
  • Identify ways to grow revenue, including generating ideas for bringing in new donors, retaining and increasing donations from existing donors, growing monthly sustainers, and re-engaging lapsed donors.
  • Design a feedback/reporting system to regularly share the actual fundraising situation compared to goals and projections.
  • Help prepare grant proposals including supplementary materials such as 990s, updates on programs to present to donors, prepare grant reports, etc.
  • Coordinate multiple fundraising events annually alongside volunteers; handle event marketing and outreach.

Donor Relations/Engagement

  • Develop and nurture close relationships with major donors and foundations, including creating personalized gift acknowledgments, maintaining regular email/phone contact, regularly sending updates.
  • Create and coordinate all fundraising communications (emails, e-newsletters, letters, events, and giving campaigns). Currently this includes an EOY direct mail campaign, a peer-to-peer fundraising campaign in the Spring (Fund-a-Thon), 2 additional e-appeals (e.g. Giving Tuesday, Taco & Bev Challenge), and ongoing email and outreach communications.
  • Keep track of donor information updates/changes and ensure timely updates of the donor database.
  • Prepare and send out donation acknowledgments.

Social Media Management

  • Maintain and update all social media accounts, including Facebook, Instagram, Twitter, and TikTok.
  • Work with the Communications team to create/schedule fundraising-related content (ideas, vision, copy) and timelines for social media platforms. Compile images/graphics for monthly e-newsletters and donor communications.
  • Maintain and update the list of subscribers on Mailchimp. Send out a monthly e-newsletter along with other regular communications.
  • Engage online followers and the accounts of other reproductive justice organizations. Respond to DMs and comments.
  • Manage Facebook/Instagram fundraising pages and event pages, including donor communications, updates, reminders, and other engagement related to fundraising.

Miscellaneous

  • New River Abortion Access Fund values shared power, collaborative decision-making, and mutual accountability among colleagues, and the Communications & Development Coordinator will work strategically with other staff and volunteers to maintain the organizational structures that support these values.
  • Attend board meetings and regular check-ins.
  • Complete other tasks as needed.

Qualifications

  • College degree is NOT required
  • Strong interpersonal skills
  • Strong initiative and self-starter
  • Meticulous attention to detail and accuracy, especially in writing, copy-editing, data entry and data management
  • Strong time management skills and ability to juggle competing priorities and deadlines
  • Ability to work well independently without day-to-day supervision and as a member of a team
  • Familiarity with Google Sheets, Google Drive, Canva, Mailchimp, Asana, LastPass, Little Green Light
  • Virginia resident, preferably living in the Southwest VA area

Intake Coordinator

Overview

The Intake team, which is responsible for the daily operations of the abortion funding helpline program, is led by an Intake Coordinator. The Intake Coordinator trains and offers regular guidance and support to a team of volunteer case managers who return voicemails, handle client intake, enter client data into the case management system, track the budget, and pledge financial and practical support to callers.

The helpline is open Monday through Thursday, or until the weekly budget has been reached. On a typical day, three helpline volunteers and the Intake Coordinator will work together to follow up on requests made through the helpline or online form. Each day consists of a morning, midday, and evening shift, with one volunteer per shift. Volunteers input calls and texts received during their shift, and return calls in priority order. The Intake Coordinator ensures all shifts on the helpline are covered, and will work shifts as needed, if there are any gaps.

The Intake Coordinator maintains the case management system, online fax service, online voicemail service, and handles day-to-day budgeting.

Responsibilities

Helpline

  • Check helpline voicemail throughout the day and triage calls to ensure continuity between volunteer case manager’s (CM) shifts
  • Take helpline shifts on an as-needed-and-able basis, providing compassionate financial, practical, and emotional support to clients
  • Pay attention to CMs’ practices and proactively offer feedback and/or touch base with the rest of the leadership team about offering feedback
  • Provide support for CM’s on shift by:
    • Offering a listening ear to hold space during stressful cases;
    • Troubleshooting any technical issues;
    • Helping with brainstorming for complicated cases;
    • Approving larger grants;
    • Approving collaborative funding
  • Communicate with clinics via phone and email regarding grants, scheduling, etc.
  • Coordinate logistical support for callers, delegating to volunteers where appropriate

Administrative

  • Manage Google Calendar shift schedules
  • Encourage volunteers to sign up for shifts through all-volunteer crowdsourcing and one-on-one outreach
  • Ensure pledge forms have been completed and sent to clinics for all relevant cases at the end of each day
  • Maintain case management systems, including DARIA, Hellofax, Grasshopper and others, including billing and updating passwords
  • Maintain pledge records in Google Drive
  • Maintain volunteer and practical support expense records in Google Drive
  • Report funding spending and any notable cases to Executive Director
  • Review volunteer applications and interview candidates
  • Plan/lead CM trainings and team meetings as needed
  • Attend board meetings and regular check-ins with the Executive Director

Program Management

  • Maintain regular contact with regional funds and clinics to develop our relationships and deepen our collaboration
  • Work with a strategy group and the Executive Director to solve problems and issues (with case management, dealing with clinics, coordinator position itself, messages on our voicemail about external affairs/donors, etc.)
  • Participate in volunteer onboarding and training
  • Develop and maintain case manager documentation and forms
  • Develop and maintain Intake Coordinator documentation
